Privacy Policy

MicroCoach is operated by Gray Matter Group LLC, a Michigan limited liability company ("we", "us"). This policy explains what we collect, why, who we share it with, and your choices. Questions: support@microcoach.app.
The short version: what you write in MicroCoach (your Commitment Card, your check-ins and the feedback on them) is used only to run MicroCoach for you. It is never sent to advertisers or analytics tools, never sold, and never used to train AI models.
What we collect
Account information. Your email address, the name you ask us to call you, and your timezone (detected from your browser, or chosen in Settings).
Your coaching content. Your Commitment Card (your One Big Thing, why now, your finish line, the pattern that gets in the way, and what you'll start and stop), your weekly check-ins, and the feedback written on them.
Billing information. Stripe, our payment processor, collects your card details and billing address directly; we never receive your full card number. We keep Stripe's reference numbers for your customer record and subscription, your plan, and its status and renewal date.
Technical information. Like most websites, our hosting and sign-in providers record your IP address, browser type and the pages you request, for security and troubleshooting. We use Vercel Web Analytics to count visits. It does not use cookies, and it records the page (without any query string), the referring site, and your general location, device and browser.
Advertising information, only if you haven't opted out (see below): Meta's cookies (_fbp, and _fbc if you arrived from a Meta ad) and the events described below.

Cookies
We use a small number of cookies:
- Sign-in cookies from Supabase, which keep you signed in. They're needed for MicroCoach to work.
- Meta's cookies (_fbp and _fbc) on our homepage and these legal pages, unless you've opted out.
- mc_ad_optout, which remembers that you opted out of advertising sharing in this browser.
How we use it
- To run MicroCoach: sign you in, save your card and check-ins, generate your feedback, and show you your history.
- To bill you, through Stripe.
- To send you sign-in links and service emails.
- To keep MicroCoach secure and working, and to fix problems.
- To measure whether our advertising works, only as described below, and only if you haven't opted out.
- To comply with the law.
Who can see your content. You can. The people who run MicroCoach can access accounts and content when that's needed to provide support, fix a problem, keep the service secure or comply with the law, and not otherwise.
AI feedback
Your feedback is written by an AI model from Anthropic. To produce it, we send Anthropic the name you asked us to call you, your Commitment Card, the week's check-in and up to two previous check-ins. We don't send your email address or account ID.
Anthropic processes this data under its Commercial Terms of Service, which do not allow it to train its models on it. Anthropic publishes how long it keeps this data in its Privacy Center: it states that it deletes API inputs and outputs within 30 days, except where it keeps them longer to enforce its usage policies or to comply with the law. We don't use your content to train AI models either.
Advertising, and how to opt out
We advertise MicroCoach on Meta (Facebook and Instagram). To measure those ads, we share a limited set of information with Meta:
- On our homepage and these legal pages, Meta's pixel records that the page was visited and sets Meta's cookies. It is set not to collect anything automatically beyond the visit, and it receives the page's address without any query string.
- From our servers, we tell Meta when someone signs up, completes their Commitment Card, starts checkout, or makes a first purchase (with its amount). With each of these we send your email address in hashed form (scrambled one way, so Meta can match it but can't read it), Meta's cookie identifiers, your IP address and browser type, and the address of the page without any query string.
- To attach this information to a purchase, we keep the cookie identifiers, IP address and browser type from when you start checkout for up to 7 days, then delete them.
We never send Meta, or any advertising or analytics service, your name, your Commitment Card, your check-ins, your feedback, or anything about your goals. Meta's pixel never loads on any page that shows them.
Meta uses this information under its own terms and privacy policy.
To opt out, use "Do not share my data for advertising" at the bottom of any page, or in Settings. In that browser, the pixel stops loading and none of the events above are sent. If you're signed in, we also record the choice on your account, so it applies wherever you sign in. We also honour Global Privacy Control: if your browser sends it, we treat it as the same opt-out.
We don't sell your personal information for money. Some state laws call sharing information with an advertising platform "sharing" or "targeted advertising"; the opt-out above covers it.
Advertising
We tell Meta when someone visits our homepage, signs up, completes their Commitment Card, starts checkout or subscribes, so we can measure our ads. We never share your Commitment Card, your check-ins or your advisor's reviews.
Who we share it with

We may also disclose information if the law requires it, to protect people's safety or our rights, or to a buyer if our business is sold; the buyer would remain bound by this policy.
Where it's stored
Our database is hosted in the United States (Ohio). Our other providers may process data in the United States and in other countries.
How long we keep it
- Your account and coaching content: for as long as your account exists, including after a plan ends, so you can pick up where you left off.
- Checkout advertising data: up to 7 days (above).
- Billing records: when we delete your account we also delete your customer record at Stripe, but Stripe keeps payment records where the law requires it.
- Technical logs: kept by our providers for a limited period under their own settings.
- Support messages: as long as needed to help you.
Your choices and rights
- Access and correction: you can change your name and timezone in Settings. To get a copy of your data, email support@microcoach.app.
- Deletion: email support@microcoach.app from your account's email address and ask us to delete your account. We'll confirm it's you, then delete your account and all your coaching content within 30 days of your request. This is done by hand, and it also deletes your customer record at Stripe; Stripe keeps payment records where the law requires.
- Advertising: opt out at any time (above).
- Emails: we send only sign-in links and service emails about your account.
Depending on where you live, you may have further rights. We'll honour any request the law gives you.
Security
Access to your data is enforced by the database itself: each member can reach only their own records. Our sign-in has no passwords to steal, all traffic is encrypted in transit, and access to production systems is restricted. No system is perfectly secure; if a breach affects your information, we'll tell you as the law requires.
Children
MicroCoach is for adults 18 and over. We don't knowingly collect information from anyone under 18. If you believe a child has signed up, email us and we'll delete the account.
Changes to this policy
If we change this policy in a way that matters, we'll update the date on this page and tell you by email or in the app before the change takes effect.
